	Provides confidential administrative assistance and secretarial support to the Executive Director and supports BID staff.<br>
	Create, manage and update BID databases in conjunction with BID staff.<br>
	Develop and maintain the financial recordkeeping systems and activities.<br>
	Process accounts payable and receivable.<br>
	Responsible for processing of payroll including timesheets, payroll reports, etc. working with a payroll service. Manage allocation of cash disbursements and coordinate payment for payroll and payroll service.<br>
	Preparation of monthly financial reports, grant financial reports, weekly bank deposits, and coordination of legal and funding compliance.<br>
	Coordinate with staff on expenditures, contracts, etc. for city voucher.<br>
	Post all cash receipts to general ledger.<br>
	Reconciliation of the monthly bank statements.<br>
	Prepare income and expense statements to include monthly, year-to-date and budget figures. <br>
	Work with auditor to coordinate and prepare documents for annual audit.<br>
	Plan and coordinate meetings including annual meeting, volunteer appreciation and board meetings.<br>
	Attend board meetings. Responsible for coordination and notification, transcribing and mailing minutes, reminders, and related materials.<br>
	Represent the BID at meetings and functions as requested.<br>
	Greet and handle office visitors courteously.<br>
	Answer telephone inquiries in an efficient and accurate manner processing calls accordingly and manage voice mail system keeping it current and up-to-date.<br>
	Process incoming and outgoing mail.<br>
	Keep brochure rack current and front office clean and tidy.<br>

Qualifications:  Degree in Office Administration, Accounting or related field; or  8-10 years experience as executive assistant/office manager, bookkeeper.  Proficient computer skills:  MS Office 07, Excel, Access.  Working knowledge of QuickBooks a must.  Excellent communication, written and organizational skills.  Enthusiastic, flexible team player able to juggle various projects simultaneously.  Results and detailed-oriented, highly motivated, independent, decision maker.  Proven people and process management experience in a fast-paced, team-oriented, entrepreneurial environment.  Ability to effectively present information and respond to questions from constituents, elected officials and general public.  Ability to meet aggressive deadlines and work under pressure.<br>

o	Writing policy manuals and guidance for PROS programs and vocational programs.  <br>
o	Scheduling and organizing presentations and meetings to inform the community of rehabilitation unit activities and activities of the Medicaid Infrastructure Grant and the Department of Labor Recipient Employment Project.  <br>

Specific Activities for the Office Administrator
<br>

<br>
HR Duties would include the following: 
<br>
Assists department in carrying out various human resources programs and procedures for all company employees
<br>
Assists with the coordination of recruitment efforts, working with hiring managers to schedule phone and in-person interviews.
<br>
Assists with new employee orientations; administers pre employment screenings; conducts reference checks and background checks. 
<br>
Maintains Human Resource records and compiles reports/data as needed.  
<br>
Effectively manage the HR applicant tracker by entering new receipts, updating applicant status, adding feedback from interviews, and coordinating applicant progression through the pipeline. 
<br>
Interview applicants to obtain information on work history, training, education and jobs skills. 
<br>
Contact applicants to inform them of employment possibilities, consideration, and selection. 
<br>
Conduct background checks on applicants.
<br>
Perform searches for qualified candidates according to relevant job criteria using computer databases, recruiting events, and employee referrals. 
<br>
Briefing candidates on their status, setting expectations, and providing guidance on travel and expense reporting. 
<br>
Prepare quarterly HR reports. 
<br>
Attend career fairs and work with career center staff to create working relationships.
<br>
Work as liaison for employee, management, and attorneys in handling immigration applications and requirements. 
<br>
Performs other duties as required and assigned.
<br>

Executive Assistant duties will include:
<br>
Assists in the coordination and documentation of companywide meetings and special events.
<br>
Provide support to management and team members by performing research, assisting in preparing training materials, and making travel arrangements. 
<br>
Managing the CEOs calendar.
<br>
Answering phone calls and direct calls to appropriate parties or take messages.
<br>
Perform general office duties such as greeting visitors, ordering supplies, and sorting and distributing incoming correspondence. 
<br>
Oversee the signing and distribution of holiday cards/gift baskets to clients and partners. 
<br>
Perform other duties as indicated.

Responsibilities.  This is a database clerk position in the Albany office of the Legal Aid Society of Northeastern New York.  Will be responsible for assisting the Deputy Director and Executive Assistant with respect to gathering data and data entry for grant reporting in a variety of local, state and federal grants (.4 FTE).  Will also assist, on a part time basis (.4 FTE), the Director of Development, including data entry in FundEZ, Access and other relevant databases.  Will be responsible for generation of form letters and invoices/name tags as well as grant reports from data entered by the clerk.  Will provide clerical assistance at fundraising events (usually evenings).<br>

Qualifications.  Must have thorough knowledge of Excel or Quattro Pro spreadsheets and Access database.  Ability to work in a variety of databases and move from one to the other with ease.  Must be smart, reliable, flexible and have great attention to detail.  Experience in grant reporting and/or fundraising support is a plus.  Experience in entering data is a plus.<br>

	Performs employment verification<br>
	Works with client and third party vendors to gather necessary documentation for loan approval <br>
	Orders appraisals and resolves related issues<br>
	Creates loan application cover letters, copy customer doc set and mail out to customer within 24 hours of receipt of file. Submit file to Operations. <br>
	Maintains a high level of customer service by being proactive in communication with clients, realtors, loan officers, attorneys, etc.<br>
	Assist with customer and referral source communication during the loan process through closing. Provide loan status to customers and agents each week. Contact customer prior to closing to confirm funds required to close, loan program, monthly payment, closing date/time/location and answer any additional questions. <br>
	Provide marketing support to increase LO production. Includes creating marketing materials, distributing monthly database mailings, updating customer and referral source information in ACT, etc.<br>
	Provides additional support to branch manager as needed<br>

Skills & Qualifications:<br>
	Minimum of one year office administration experience. <br>
	Knowledge of standard loan practices, documents, and real estate terminology a plus<br>
	Excellent communication and organization skills<br>
	Excellent interpersonal skills<br>
	Detail oriented with the ability to multi-task and operate in a high-volume, fast-paced environment<br>
